I. Step 1 · Create Task (3 Entry Points)
- Have contacts — Import emails first, see 📚 Add Contacts
- Tags linked — Mass sending requires selecting recipients by tag / view, so tag your contacts first, see 📚 Tags and Views
Entry ① · From the Mass Email Module
Path: 【1️⃣ Email Marketing】→【2️⃣ Mass Email】→【3️⃣ + Mass Send】

Entry ② · From the Contacts List Mass Send Icon
Path: 【1️⃣ Customer Management】→【2️⃣ Contacts】→【3️⃣ 📧 Mass Send Icon】

Entry ③ · Select Contacts, Then Mass Send
Path: 【1️⃣ Customer Management】→【2️⃣ Contacts】→【3️⃣ Select contacts】→【4️⃣ Mass Send】
- Send Email: Send to a single customer, for 1-on-1 follow-up
- Mass Send: Mass send to large groups (by tag / view dimension), for cold email marketing

II. Step 2 · Configure Send (4 Tabs)
After entering mass send config, fill in the 4 Tabs in order and submit to the cloud.
1. Select Customers (Tab 1)
Pick recipients and exclusions:
- Recipients (required) — The group to send to. Choose tags or views
- Exclusions (optional) — The group not to send to (e.g. closed deals / competitors / domestic emails), also via tag / view
Only tags / views are supported, not direct email address input. For sending to a single email, use 📚 Compose New Email; mass send only does bulk send by customer group.

Use views to exclude in one click:
- Intent customer view (inquiry / sample / closed deals) → avoid double-sending
- Risk customer view (competitors / unsubscribed / blacklist) → protect sender reputation
- Do-not-send mailbox view (domestic mailboxes / noreply@ / hr@) → boost precision
2. Select Template (Tab 2)
Two methods:
- Select existing template — Pick from the dropdown
- Add new template — No suitable template? Click 【+ New Template】 to create one on the spot

4 fields for a new template:
| Field | Description |
|---|---|
| Set Name | For your own reference, write whatever |
| Email Subject | What the customer sees, should be attractive, affects open rate |
| Email Content | Highlight your advantages, affects inquiry conversion |
| Save Template | Click 【Save】 to reuse later |

More template tips: 📚 Email Templates.
3. Select Sender Account (Tab 3)
📧 Two types of sender channels:
| Channel | Price | Use Case | Recommendation |
|---|---|---|---|
| ✅ Premium Channel (system channel) | ~¥0.007 per email | High-volume mass send · no ban risk | ⭐⭐⭐⭐⭐ |
| ⚠️ My Mailbox | ¥0 per email | 1-on-1 follow-up · may get banned | ⭐ |
① Premium Channel
- Select existing account: A sender account is created by default at registration
- Add system account: Don't like the existing one? Click 【+ Add Account】 to create a new one
- More details: 📚 System Account

② My Mailbox
- Select existing mailbox: Already-bound mailbox (personal or corporate)
- Bind your mailbox: Click 【+ Add Mailbox】 to bind a new one
- More details: 📚 Email Account

4 risks: ① Mailbox gets banned ② Domain blacklisted ③ Linked website suspended ④ Search engine ranking downgraded (see Q · Can Corporate Email Mass Send?)
4. Advanced Settings (Tab 4)
6 advanced options for mass send tasks:
| # | Option | Recommendation |
|---|---|---|
| 1️⃣ | Email Tracking | ✅ Enable — see customer opens / clicks status, see 📚 Email Tracking |
| 2️⃣ | Sender Nickname | ✅ Required — when sending from multiple accounts, use one unified nickname, otherwise the sender looks unnatural |
| 3️⃣ | Reply Email | ❌ Not recommended — may affect delivery rate |
| 4️⃣ | Send-on-Behalf Mode | ❌ Not recommended — severely impacts delivery rate |
| 5️⃣ | Set as Default | ✅ Tick "Set as Default" for common configs to save time next time |
| 6️⃣ | Scheduled Send | ✅ Schedule by customer time zone (e.g. for US customers, schedule their daytime = your overnight) |

III. Step 3 · Review Replies
1. Marketing Data
Task list shows each task's overall data (send rate / delivery rate / open rate):

Task detail shows detailed stats for a single task:

2. Active Readers
Inside task detail, filter customers who opened — they're high-potential follow-up targets:

Detailed records are in 【Email Tracking】, showing IP / location / ISP / device / subject / recipient / sender / timestamp etc.:

More tracking tips: 📚 Tracking Logs.
3. Bulk Tag + Re-send
In task detail, you can bulk-operate on opened / clicked customers — bulk-tag them as "warm leads", or send another round directly to them:

4. Receive Customer Replies
- Reply email is set → replies go to your mailbox, system can't receive them
- Reply email is not set → replies go to the system, unified inbox in "Email"
① Reply Email is Set
Just check inquiries in your own mailbox.
If you don't want to switch between multiple email clients, you can bind your personal / corporate mailbox to Laifaxin to manage the inbox in one place. See 📚 Email Account.
② Reply Email Not Set
Go to 【Email】 → 【Inbox】 to view customer replies, see 📚 Email List.
🔔 Be sure to enable notifications: To get notified in time, follow 📚 Enable Notifications to enable browser + email + WeChat notifications.

📋 Pitfalls Summary
| Pitfall | Consequence | How to avoid |
|---|---|---|
| 🔴 Mass sending from your own mailbox at scale | Domain blacklisted / mailbox banned / linked website affected | Use Premium Channel, reserve own mailbox for 1-on-1 |
| 🔴 Mass sending without tagging | Can't reach the right people | Tag first, then mass send, see Tags and Views |
| 🔴 Recipients not excluding "intent / risk" groups | Closed customers get re-contacted / competitors get your cold emails | Apply intent + risk exclusion views before mass send |
| 🟡 Sending too much in one task (> 100k) | Hard to monitor, hard to optimize in stages | Per task ≤ 100k, split very large volumes |
| 🟡 Sending too much per day (> 500k) | Delivery rate drops | Per day ≤ 500k (≤ 200k is safer for daily use) |
| 🟡 No sender nickname | Sender looks unnatural → customers don't open | Required nickname in advanced settings |
| 🟡 Enabling "Reply Email" / "Send-on-Behalf" | Impacts delivery rate | Disable both |
| 🟡 Subject / content never changes | Pattern detected, open rate plummets | Prepare multiple template sets to rotate, with multi-variable randomization |
❓ FAQ
1. Sending Features and Limits
Q · How to customize send quantity (batched sending)?
If your customer management is too coarse, you didn't use tags / views to segment, but you have a large customer base and want to send in batches, use 【Custom Send Quantity】.

Example: 130k customers split into 3 batches:
| Batch | Skip | Max Send | Actual Send | Email Ordering |
|---|---|---|---|---|
| 1️⃣ | 0 | 44000 | 44000 | 1 ~ 44000 |
| 2️⃣ | 44000 | 44000 | 44000 | 44001 ~ 88000 |
| 3️⃣ | 88000 | 44000 | 43765 | 88001 ~ 131765 |
Batch 1️⃣: Skip 0, max 44000 → sends customers 1 ~ 44000

Batch 2️⃣: Skip 44000, max 44000 → sends customers 44001 ~ 88000

Batch 3️⃣: Skip 88000, max 44000 → sends customers 88001 ~ 131765

Done: 3 batches cover all 131765 customers.
💡 Friendly reminder: Try not to send more than 20000 per day.
Q · Can I pay annually for unlimited sending?
Bottom line: No!
- Used some "unlimited send" service, 6 months → millions sent → 0 replies
- Same data switched to Laifaxin → inquiries came in immediately

We prioritize results — sending emails isn't just about pushing them out, it's about getting inquiries.
🌙 Problems and truth about unlimited sending:
- No guaranteed results: They claim unlimited sending for a year, but collect high fees upfront. During the trial period it works, then days later it fails and emails get intercepted. No matter how many you send, it's all wasted.
- Resources don't get updated: These services don't update IPs / domains, don't file delisting appeals. Within 5 days, IPs hit spam lists, nearly zero effect. Their cost is rock-bottom (server ¥200/year + domain ¥80/year + labor ¥100), with marketing fees starting at ¥4000, so margins are huge. Once they get your money, they ignore you — because they "delivered on the promise: unlimited sending for a year" 😄
🌙 How we ensure results:
- Try before pay: Free sending quota, pay after seeing results, avoid getting burned
- Generous gifts: We give generous sending quotas — use them well, send for free
- Always responsive: Dedicated user community, prompt response to issues
- Resources updated: Sender IPs and domains updated daily, ongoing delisting appeals, aligned with international standards
- 1️⃣ We have tens of thousands of active users, low entry barrier but large base, enough to offset costs
- 2️⃣ We profit from less than 3% of high-volume senders whose monthly sending volume starts in the millions
Q · Do cold emails need mailbox "warm-up"?
Bottom line: Mailbox warm-up? Totally unnecessary.
🔥 The essence of mailbox warm-up:
- Purpose: Send small volumes to active users to gradually build sender trust and reputation, avoid being marked as spam
- Mechanism:
- Build reputation: Take Gmail — new domains have daily threshold limits; send small volumes and avoid being reported, gradually raise the cap 300 → 500 → 1000 → 2000
- Spam reports: User reports drop your domain reputation
- Conclusion: Mailbox warm-up is mainly designed for subscription emails (a way to trick mail servers into thinking the sender is sending legit opt-in emails). Not applicable to cold outreach.
🔥 Our strategy: direct and effective
- Brute force works: We have thousands of domains on the backend + daily additions — no warm-up needed, just go
Q · What's the max emails per task?
| Dimension | System Limit | Recommended |
|---|---|---|
| Per Task | No hard limit | ≤ 100k |
| Per Day | No hard limit | ≤ 500k (emergency) / ≤ 200k (daily) |
How do you send 1M emails? Split into 10 tasks × 100k each / ≤ 200k per day → done in 5 days. Easier to adjust strategy along the way.
Q · Does the computer need to stay on?
Cloud-based, you can shut down the computer.
- Cloud execution: All mass send / customer search tasks run in the cloud. After submission, you can close the browser and shut down the computer
- Scheduled tasks: Scheduled for midnight, runs on time even if your computer is off
2. Mailbox Types and Configuration
Q · Can corporate email be used for mass sending?
✅ You can bind a corporate mailbox for mass sending — see 📚 Email Account for binding steps; select in My Mailbox at mass send time.
🚫 But we don't recommend it, 4 risks:
| Risk | Consequence |
|---|---|
| ❌ Mailbox banned | Corporate mailbox used for mass send → suspended by provider |
| ❌ Domain blacklisted | Corporate mailbox domain hits spam blacklist, even normal emails go to spam |
| ❌ Website suspended | Website domain = sending domain → server suspended due to abuse complaints |
| ❌ Search ranking downgrade | Classified as mass mailer → domain downgraded in search engines, indexing cut |
Q · Can I bind my own domain for mass sending?
✅ Supported (SVIP annual members only) — process: 📚 Contact us for manual binding.
🚫 But we don't recommend using your own domain for mass sending:
- Domain risk: May land on spam lists
- Website risk: Domain association could trigger abuse complaints → server suspended
- Search risk: Search engine downgrade → website indexing affected
🚫 Subdomains also need caution: They may still adversely affect the main domain.
Q · What's the advantage over a self-built mail server?
Our system comprehensively outperforms self-built mail servers, providing an efficient and economical email sending solution:
- 🌟 Results guaranteed: Effective email marketing service that ensures campaigns hit targets, not just "send out"
- 💰 Cost-effective: Compared to self-built mail servers (massive server + domain + maintenance investment), our service performs better and costs less
- 🔄 Resources updated and maintained: Continuously updates and maintains sender IPs and domains to ensure stable email delivery
- 🤝 User support and feedback: Dedicated user community + real-time feedback mechanism
Q · What's the advantage over overseas mail servers?
- 🌍 Global sending footprint: Thousands of sending nodes, 90% located overseas (Singapore / Germany / Sydney / US, etc.)
- 🛡️ Marketing safety guaranteed: Deep partnerships with multiple overseas operators, avoiding marketing ban risks
- 🆓 Zero domain cost: Provides sending domains, no need to bind your own domain, saves extra cost
- 🌟 Excellent results guaranteed: Effective email marketing service ensures campaigns hit targets
- 💰 Cost-effective: Compared to overseas mail servers, ensures results at a lower cost
3. Email Templates and Content
Q · How many templates per task?
Theoretically no upper limit. See 📚 Email Templates + Mass send template selection.
Q · How does AI write high-reply-rate templates?
See 👉 AI Auto-Generate Multi-Round Cold Email Sequences (external guide, ready in minutes).
Q · Auto-insert customer name per email (one-to-one display)?
For mass sending, auto-insert the corresponding name per email so it feels like 1-on-1:
Step 1 · Ensure complete contact info
In the contact list, each email needs Name + First Name fields.
- Fill in both during batch import, see 📚 Batch Import

Step 2 · Insert variables in template
Go to 📚 Email Templates and use the 【Insert Variable】 feature:
- Email Subject → insert Name variable
- Email Content → insert First Name variable

Step 3 · Preview send results
Preview the actual email to check variables are replaced correctly:

Q · Are templates randomly assigned in mass send?
With 1000 customers and 20 templates, how does the system allocate?
- Random assignment: System randomly picks templates to send, ensuring diversity
- Balanced assignment: 1000 customers evenly split across 20 templates, 50 customers per template, balanced exposure
This mechanism ensures email content is diverse + balanced, boosting overall marketing performance.
4. Recipient Management
Q · Is mass send actually one-to-one (one-to-one display)?
✅ Yes — 1000 customers get 1000 personalized emails, each recipient only sees their own email (not CC, not BCC).
This mechanism makes each email unique, boosting personalization and customer response rate, ideal for foreign trade reps reaching global customers precisely.
Q · Without a reply email, where do customer replies go?
| Advantage | Description |
|---|---|
| System receives replies | Replies enter the system, with email + WeChat notifications (Enable Notifications) |
| Higher delivery rate | Fewer detection patterns → email more likely to hit inbox |
| Protects personal mailbox | Avoids ban / spam list / downgrade due to frequent replies |
| Higher inquiry rate | Under anti-spam rules, mass-send content in the reply can easily get intercepted by your mail server; the system doesn't intercept |
| View replies | Go to Email · System Inbox |
Q · Does the system auto-verify and filter invalid emails?
✅ Auto-verify + auto-filter + only charged for what's sent:
- Auto-verify: System auto-verifies email validity before sending
- Auto-filter: Invalid emails auto-excluded, no wasted send resources
- Free verification: Email Verification is completely free, only charged for sent emails
Q · How to exclude non-target emails in one click?
🔍 Filter via contact view + select exclusions at mass send time:
Step 1 · Build a non-target email view:
| View Type | Setup |
|---|---|
| 🚫 Domestic Email View | Email suffix = qq.com / 163.com etc. |
| 🚫 Irrelevant Email View | Email prefix = noreply@ / support@ / ticket@ etc. |
See 📚 Tags and Views for view setup.
Step 2 · Exclude during mass send:
In mass send config 【Pick Exclusions】 → select the views you just built → bulk exclude in one click.
🛠️ Exclusion logic: Because mass send takes exclusions, the view must aggregate the targets you don't want to send to!
Q · Can recipients be entered as email addresses directly?
❌ No direct email address input.
- Recipients / Exclusions can only pick tags or views
- For single-email sending, use 📚 Compose New Email
This design ensures precise and efficient targeting, avoiding errors and confusion from direct address input.
5. Email Delivery and Effectiveness
Q · Will Premium Channel emails still land in spam?
Honest answer: Yes, but with low probability.
- Factors that cause spam landings: IP address / domain / email content and other factors
- Fixed domain risk: Frequent sending will get the domain flagged
- Our response: Daily updates of IPs and domains to adapt to dynamic filtering rules
- Content matters: Multi-template + variable rotation to avoid content patterns
- Foreign trade community feedback: Join our community to see real testimonials from other foreign trade users
We strive to lower the probability of landing in spam through continuous resource updates + content optimization advice, but make no unrealistic guarantees. We stick to honest service.

Q · What does normal marketing data look like?
From finding customers to closing deals, watch these metrics: send rate / delivery rate / open rate / reply rate / close rate.
- Optimal target: 200 cold emails → 1 targeted inquiry
- Baseline target: 3000 cold emails → 1 targeted inquiry
🌟 Send Rate · Ideal ≥ 80%
- Formula: Send rate = sent count / submitted count
- Sent count: Number of emails actually attempted to send
- Submitted count: Total submissions for sending
Low send rate = high proportion of invalid emails. Email quality is proportional to send rate.
| Send Rate | Rating | Typical Data Source | Description |
|---|---|---|---|
| ≥ 90% | Good | Real-time data from Laifaxin | High freshness, few invalid |
| 80% ≤ X < 90% | Average | Official website mailboxes, industry directories | Some lag, fewer invalid |
| 50% ≤ X < 80% | Poor | Some platform inquiries, purchased data | May include "fake inquiries" |
| X < 50% | Terrible | Trade fair data, old data | Heavily diluted, many emails already invalid |
🌟🌟 Delivery Rate · Ideal ≥ 90%
- Formula: Delivery rate = delivered count / sent count
- Delivered count: Successful delivery count after excluding bounces
- Sent count: Number of emails actually attempted to send
Low delivery rate = cold emails are getting heavily intercepted → the content is being recognized by anti-spam systems, time to revise!
🌟🌟🌟 Open Rate · Normal Range 7% ~ 15%
- Formula: Open rate = unique openers / delivered recipients
- Unique openers: People who opened the email (same person multiple opens = 1)
- Delivered count: Emails successfully delivered to inbox
- 🔔 7% ~ 15% is the normal threshold; too high or too low may indicate issues!
A high open rate isn't necessarily good. Check for these behaviors:
- Concentrated abnormal sending: Sending more than 20 emails to one company in a day → triggers anti-spam per-email checks, abnormally high open rate
- Content already flagged: Cold email rarely changed → pattern detected, anti-spam scans per email. High open + low reply = something's wrong. Avoid over-exposing company full name / website / email in cold emails, prepare multiple template sets to rotate
- Check open devices: In Email Tracking, look at the open device — mobile reads are usually the customer, desktop (especially Linux) is 90%+ machine scans, "Unknown device" is usually a crawler
Many possible causes:
- Mailbox activity too low: Owner doesn't log in often (common with public trade fair data)
- Customers not precise enough: Sending cold emails promoting Product B to customers who sell Product A → naturally not opened
- Subject not attractive: Subject is like a book cover, optimize carefully for target customers
- About "some platform" inquiries: We're often asked "My mailboxes are precise inquiries from some platform — why is open rate below 3%?" Answer: see Send Rate, if their data is good, would there be so many invalid emails? Want to learn about "fake inquiries"?
- About trade fair data: "Why is my trade fair data open rate only 3%?" Answer: Trade fair data circulating online is heavily diluted. Filter out free mailboxes, re-extract data by domain — results are drastically different.
🌟🌟🌟🌟 Reply Rate · Target 0.5% (1 inquiry per 200 emails)
- Unique replyers: People who replied (vs. total replies)
- Sent count: Excluding abnormal sends (invalid emails)
Reply rate 0.2% ~ 2% is normal — target 1 inquiry per 200 emails, baseline 1 inquiry per 2000 emails.
💰 Send cost (at ¥0.007 per email):
| Conversion | Total Cost | Cost per Inquiry |
|---|---|---|
| 200 emails 1 inquiry | ¥1.4 | ¥1.4 per inquiry |
| 500 emails 1 inquiry | ¥3.5 | ¥3.5 per inquiry |
| 1000 emails 1 inquiry | ¥7 | ¥7 per inquiry |
❓ So, how many cold emails do you expect it takes to get one inquiry?
