📝 Email Templates · Write Once, Reuse Many Times + Variable Personalization

Email Templates = write an outreach email once and apply it directly in Mass Email / Compose / Smart Follow-up. Combined with variables ({First Name} {Company} {Title} etc.), each email is auto-replaced with that customer's real data — 1000 customers receive 1000 emails that "look written just for them".

2. New Template

💡 Folder vs Template
  • 📁 Template Folder — the folder for templates, only one level (no nested subfolders)
  • 📝 Email Template — can sit inside a folder or at the top level

→ Group all templates for one customer segment (e.g. "Medical Device Distributors") into one folder for quick selection during mass send.

1. New Folder

Top-right 【+ Folder】 → enter folder name → create.

⚠️ Standardize Folder Names

Name folders by customer segment (e.g. EU/US Medical Device Distributors / Asia Electronics Distributors), avoid test / temp — folder selection during mass send will be much clearer.

2. Template Naming Convention

Recommended naming: {Segment}-{Language}-{Number}-{Notes}

Example: Pet-Food-Manufacturer-English-002-Reply-Code-Prompt

This naming makes it easy to find the right template from the dropdown in mass send, saving the time of opening each one.

💡 Group by Customer Segment

All template variants for one segment (e.g. "Pet Food Manufacturers") — A/B test versions / multi-language / multi-round follow-ups — should be in one folder.

4. Email Subject · Personalize with Variables

Email subject = the line the customer sees in their inbox, affects open rate. Use variables to make it change automatically.

Q4 · How many variables can one template use?

No hard limit. But 5 ~ 10 variables is most comfortable: last name / first name / company / title / country / industry / email etc. Too many variables:

  • Leads to awkward blanks when contact fields are missing
  • Makes templates hard to maintain — change one place, affect all
